Application Details:

Entries
The intention of this festival is to promote small one act plays and monologues, especially new works. Selection of performances will be based on audience appeal, variety, and production values, so impress the selection committee with your show description. Approximately 50% of entries will be chosen from within the hosting zone.

What You Get If You Are Selected To Perform
1. At least two performances in a variety of time slots.
2. A venue (60-100 seats) equipped with basic lighting and sound.
3. One venue technician for your production.
4. Front of House volunteers, tickets, and box office services.
5. Inclusion in the Actoberfest program, Theatre BC website, and overall event publicity.
6. 50% of your box office revenue.

Performances
Each entry will be guaranteed a minimum of two performances but may be given three if space permits. We expect that all productions accepted into Actoberfest will be available for the duration of the event. If a company’s availability is limited for whatever reason, Theatre BC reserves the right to remove the production from Actoberfest and apply the appropriate withdrawal policy. Performances are limited to a maximum of one hour in running time. Performances running longer than 60 minutes will be stopped by the venue technician. The company will have 15 minutes to setup and tech, and 15 minutes to strike. Performances that are less than 30 minutes in length may be paired with another short performance to make a full performance session.

Performance Session Schedule (tentative-subject to change)
Friday, Oct. 17, at 6:00, 8:00, and 10:00 pm.
Saturday, Oct. 18, at 12:00, 2:00, 4:00, 6:00, 8:00, & 10:00 pm.

Box Office
Entries will receive 50% of the gate income from their performances. If two performances are paired for a performance session, they split the gate income between them. Ticket prices will be $8.00 for all seats. Companies are allowed a total of 10 complimentary tickets for their own performances only.

Adjudication and Awards
Each entry will be adjudicated by a professional, and there will be an adjudication session scheduled to receive feedback on your show. Individual and production awards will be handed out by the adjudicator at the awards luncheon on Sunday.

Schedule (tentative):
Sunday, October 19, 10:00am - 1:00pm - Adjudication session
Sunday, October 19, 12:30 – 1:45pm – Awards Luncheon

Technical
Theatre BC will provide one tech person per performance venue. The technician may operate either lighting or sound at your discretion for your show. It is highly recommended that every production supply a stage manager to call their show and to help run lighting or sound. Each production receives a one- hour technical session to become familiar with the assigned performance space. These technical sessions will be scheduled on Thursday, October 11 and Friday morning, October 12. Since there are some technical limitations in the venues, it is best to focus on the content of your play and try to keep the technical/production values as simple or as compact as possible. All venues have very limited storage space for the companies that share each venue and if you have a large number of set pieces, costumes or props you may have to remove these items after each performance.

Advertising
Theatre BC will promote Actoberfest and list the individual productions involved, but productions are able and encouraged to advertise on their own, and may include newspaper, posters and hand-bills, any of which must be approved by Theatre BC prior to print and/or distribution.

Registration
1. All persons involved in a production entry must be individual members of Theatre BC. Club membership is not required. Application deadline is July 31, 2008. No application is considered if all members of the production are not Theatre BC members at the time of the application.

2. An entry fee of $200 must accompany the application. All cheques for registrations are deposited to the Theatre BC account, and any NSF cheque disqualifies a production from consideration, and they
will owe Theatre BC a $20 NSF charge. Any credit card payment not accepted by the bank disqualifies a production from consideration.

3. Any individual member of Theatre BC can apply to perform in Actoberfest, but only ONE application can be submitted per individual or company. All applications must have a Company Name, and a Primary and Secondary contact. If an individual or company submits more than one application, ALL applications submitted by that individual or company will not be considered to perform. The Primary and Secondary contacts of a company cannot be the contacts for a second company applying to perform in Actoberfest. If the Primary contact is unable to continue
with a production, Theatre BC reserves the right to remove the production from Actoberfest and apply the appropriate withdrawal policy. Once the application has been received, the company name and Primary Contact cannot be changed. Actoberfest considers the Primary Contact to be the producer of the company and, as such, will be the sole individual allowed to submit and receive information on behalf of the company. Therefore, it is the Primary Contact’s responsibility to distribute Actoberfest information to their appropriate production members.

4. If not chosen initially to perform at Actoberfest, a production has the option of a full refund of the registration fee, or going on a wait list. Those on a wait list will receive a full refund when they choose to withdraw from the wait list, or by October 1, 2008 if not selected to perform at Actoberfest 2008.

Withdrawals and Refunds
All withdrawals from Actoberfest must be made in writing by the production’s Primary Contact. A production that has been accepted to perform in Actoberfest and subsequently withdraws between May 1, 2008 and August 1, 2008 will receive a refund of their registration fee less a $50 administration fee. A production that withdraws after August 1, 2008 will forfeit 100% of its application fee. On October 1, 2008, Theatre BC will fully refund all registration fees to productions on the waiting list that did not move to participant status. Any Actoberfest applicant on the waiting list may withdraw from Actoberfest at any time and receive a full refund of their registration fee.
